Changing provider

A considered move. A clear handover.

Moving payroll goes more smoothly when you know where things stand today and have a sensible plan for what comes next. Get your current arrangements together, agree who handles what in the handover and make sure your people know who to contact throughout the change.

01

Gather the picture of today

A handover starts with understanding what’s happening now. Note who currently prepares pay, which dates are fixed, what the pay cycle is and who needs to approve changes. Collect your current provider’s contact details and check the notice or end-of-service arrangements that apply. You don’t need to send records to YTS at the enquiry stage. A clear description is enough to get the conversation started.

02

Plan for continuity

The aim is that nobody misses a correct payment because of a change of provider. Ask YTS how the start date is agreed, what’s needed from you beforehand and who’s responsible for each step. Think about whether the move should line up with a natural break in the pay calendar, and talk it over with your accountant. Agree the timing and handover steps before ending your existing arrangement.

03

Telling your people

Workers will want to know what’s changing and what isn’t. Plan a short, honest message: who’s handling payroll from when, who to contact with questions and, if relevant, how the rewards program works. Keep it factual and don’t promise anything that hasn’t been agreed in writing. A clear message before the change means fewer worried queries on the first pay day afterwards.

A LITTLE MORE CLARITY

Your questions, answered.

Will YTS transfer everything automatically?

This website doesn’t claim any automatic migration. What’s needed and who does what is discussed and agreed directly with YTS, so ask for the handover steps in writing before you go ahead.

Should I cancel my current provider first?

Please check your existing agreement and notice terms before changing anything. Agree your start date with YTS first, and consider asking your accountant to look over the timing so there’s no gap in service.

What records should I send?

None in the first enquiry. Describe your situation in general terms. What information is needed and how to provide it is explained during onboarding, through a route set up separately from this public website.
